Privacy Policy

This policy explains what information we collect through this website and the platform, how we use it, and how we protect batch records and other manufacturing data you store with us.

01Two kinds of data

Website data is what you share with us through this website, such as the signup and demo request forms. Workspace data is everything your plant records in the platform, including master recipes, batch records, deviations, equipment logs, audit trails and electronic signatures.

For workspace data, you are the controller of the records and we process them on your behalf under your agreement with us. For website data, we decide how it is used, as described below.

02Information we collect on this website

When you sign up or request a demo, we collect your name, work email, company, designation, plant type, number of production lines, regulatory markets, current record method and any message you write.

We also collect basic technical data needed to run the website securely, such as IP address, browser type and the pages requested, kept in server logs. The verification question on our forms uses a short-lived session cookie to check your answer.

03How we use website information

We use it to create your workspace and send your login credentials, to reply to your demo request, to prepare a walkthrough relevant to your plant, and to send service messages about your account.

We do not sell your information, and we do not use it for third-party advertising.

04How we handle workspace data

Batch records and related data are used only to provide the platform to you: storing, displaying, checking, exporting and archiving your records as you configure them.

The AI Batch Reviewer processes your records inside your workspace to produce highlights for your QA team. Your records are not used to train models for other customers and are never shared with other customers.

Our staff access workspace data only when you ask for support or when needed to keep the service secure and running, and such access is logged.

05Security and integrity

Data is encrypted in transit and at rest. Access is role-based, every user has a unique login, and every create, change and signature is written to an audit trail that cannot be edited.

Workspace data is backed up on a regular schedule to a separate location, and restore procedures are tested.

06Retention

Workspace records are kept for the retention period you configure, which should reflect the requirements of the markets you supply. Released batch records are archived read-only for that period.

Website enquiries are kept for as long as needed to respond and follow up, and then deleted or anonymised. When your subscription ends, you can export your records before they are deleted under the timeline in your agreement.

07Service providers

We use carefully chosen providers for hosting, email delivery and backups. They process data only on our instructions and under confidentiality and security obligations.

08Your choices and rights

You can ask to access, correct or delete the personal information you gave us through this website, or ask us to stop contacting you, by writing through the QA Office page.

Requests about workspace data should come from the administrator of your plant workspace, because your organisation controls those records and their retention under GMP.

09Changes to this policy

If we change how we handle information in a meaningful way, we will update this page and tell workspace administrators before the change takes effect.
